Why should I hire a wedding consultant?

Planning for a wedding is an incredibly exciting time; however there are an innumerable amount of details that go into making a once-in-a-lifetime event run smoothly. With a busy career and personal life, it can be difficult for couples to find the time and resources needed for such a task. The Wedding Haven has the knowledge and know-how needed to locate the most reputable vendors, negotiate prices and contracts, handle the countles details, and greatly reduce stress throughout the planning process. Most couples advise that hiring a wedding planner was the best wedding-related investment they ever made. Here are 5 reasons to hire a certified wedding planner:

1. It’s simply not your thing.

You’re not anti-ceremony. You’re just not a party planner. Yes, you have friends who loved combing shops and websites finding antique bud vases for every table at the reception, haggling with caterers, making schedules and lists. That’s not you. What exactly does a wedding planner do?

We are the middlemen.  We worry about vendors showing up, centerpieces arriving on time, directing guests, and setting up so you don’t have to.

We are the secretary.  We type out and organize timelines, budgets, VIP photo and song lists; we keep track of Vendors and their contact information; and we even help with contract language.  

We are a neutral party, a therapist and a mediator.  We really don’t care if Aunt Caroline hates our guts because we didn’t use her neighbor’s daughter to make the cupcakes! We are here to give you exactly what YOU want on YOUR special day!

We see the bigger picture.  When planning a wedding, it is so easy to become overwhelmed with the tiny details, that sometimes the bigger picture can get overlooked.  “OMG, I was so focused on the decorations, I forgot to order the cake!”  We are here to help you take a step back and focus on the details AS WELL AS the bigger picture. 

We are your risk mitigators.  Every couple should be able to relax and enjoy their wedding day, and especially be able to enjoy one another.  It’s much harder to do that when you have a million people running up to you with questions and mini disasters when all you want to do is soak up the happiness and enjoy yourselves.  Our job is to handle the questions and mini disasters for you, and make sure you have as many happy moments as humanly possible.

We have access to the best vendors in the area.  You may think, well why would I hire a wedding consultant to contact this vendor when I can just do it myself?  The answer is simple.  Vendors need referrals (just like anyone else in the service industry), and some are even willing to offer you a discount for those referrals.  With the money you save on the discounted photography package or floral arrangements, or even just the time saved in calling around, comparing prices and checking availability, hiring a wedding consultant practically pays for itself!

We keep your best interests in mind.  Did the rainy weather ruin your beautiful outdoor setting?  We arrange it indoors, equally as beautiful, in no time flat.  Did a bridesmaid’s hem come loose? We pin it into place. Did you forget to buy a knife and server set? We've got your back.

Can I afford a planner?

Yes! There was a time when wedding planners were considered a luxury item reserved for the rich and famous, but in today’s hectic and busy world, planners and coordinators are quickly becoming a necessity and more affordable than ever. Whether your overall wedding budget is $15,000 or $150,000, we will work with you to create a fabulous stress-free event so you can relax and enjoy one another, all while remaining within your target budget.

What separates you from other wedding planners?

1. We offer a la carte services to each of our clients... This means I'm not an "all or nothing" style wedding planner.  Maybe you only need help with the centerpieces and name cards, or maybe you JUST need a little help addressing invitations.  We will plan to perfection as much or as little of your wedding as you need, and price our services accordingly.

2. In order to give each of our clients the time and attention they deserve, we only take a limited number of events per year, and NEVER double book a weekend or event date.  Taking on a limited number of weddings each year, gives us the opportunity to focus on you and you alone in the months leading up to the big day.  We truly believe each wedding is unique and there is no “one size fits all” planning package; that is why each of our services are individually priced and tailored to fit your specific wedding planning needs.  We make it a priority to stay up to date on the wedding world, and really listen to and execute our clients’ thoughts, dreams and ideas.  

3. Most importantly, We focus on quality- not quantity.  We enjoy spending our time working with you while perfectly executing and personalizing your wedding, rather than hurriedly planning dozens and dozens of "one look fits all" events.  We feel a deep sense of pride, accomplishment and happiness when we watch our couples enjoying one another on their wedding day instead of stressing about the details.  Not only does every couple deserve to make their dream wedding into the wedding of their dreams; but they also deserve to enjoy it! What's the Difference Between a Wedding Planner, Wedding Consultant, Wedding Coordinator?

Great Question!  This is the age old question that still confuses clients & even wedding professionals around the globe.  We'll break it down for you the best we can... as we are ALL of the above.

Wedding Planner/Full Service Coordinator: A wedding planner or full-service coordinator (a.k.a. the Bride's new best friend throughout the planning process) is there from start to finish.  Wedding planners are generally the first person you call after you get engaged (well, aside from friends & family).  Once you've chosen and hired your planner, you might give them an idea of your vision (or lack thereof) for your wedding day.  From there, the planner usually takes the reigns and helps you find the perfect photographer, caterer, baker, florist, décor rentals, invitations and more.  Depending on your time constraints and budget, the wedding planner can be involved in every little decision, and essentially "take over" when you're to busy to deal with putting in 150 hours to plan your wedding OR they can play more of the consultant role (which we'll get to next).  Wedding planners can help you stick to a budget, create timelines for you and your bridal party, and contract properly with some of the best vendors in the area.  Their vast knowledge and experience is an invaluable asset to planning the wedding of your dreams.  The full-service planner/coordinator will be there from start to finish on your wedding day and may even help you plan and guide your rehearsal & rehearsal dinner as well.

Wedding Consultant: The wedding consultant is just as it sounds: a wedding professional to consult with while planning your wedding.  Some wedding consultants will charge you by the hour, while others have consultation packages in place.  If you are not afraid of contacting vendors, arranging meetings, typing your own timelines, sticking to your own budget, conducting your own rehearsal (from personal experience, let me just say "yikes!"), then wedding consultations may be your cup of tea.  Ask and you shall receive...

Day-Of/Month-Of/Weekend-Of Wedding Coordinator: This is the trickiest area to define, as each wedding coordinator has their own style, packages, procedures & ideas of what Day-Of Coordination really entails.  Regardless, wedding coordinators are pretty much a God-send for your wedding day.  I have been told time and time again by my brides that their wedding coordinator was truly the most invaluable investment they made.   

If I could shout this from the rooftop, I would: "Day-Of" Coordination is soooooooooo much more than it sounds!  Some coordinators meet with you several times in the months (or even year) leading up to your wedding, we help with vendor referrals, we guide you through your wedding rehearsal, we come up with layouts & decor maps for you and your venue to review, we set up, we manage vendors, we avert mini-disasters without you even knowing they were on the horizon, we print wedding day timelines for you and your bridal party, we play therapist, we play janitor, we play best friend... we are there for you every step of the way on the first day of your happily ever after.

"Weekend-Of" or "Partial Planning" Wedding Coordination is our favorite...  It includes all the same amenities as the Day-Of Coordination packages, and then some.  We are more involved with the rehearsal, rehearsal dinner & clean-up of your wedding.  This gives us a chance to really get to know your bridal party, friends & family... we love it when they're comfortable coming to US instead of YOU with questions on your wedding day.  We also provide you and your bridal party with a wedding weekend itinerary & activities lists for your guests to enjoy.

To some coordinators, "Month-Of" and "Day-Of" mean the same thing.  To us, "Month-Of" is actually a shorter term process than "Day-Of"... Confusing right?!  If you come to us 1-2 months before your wedding and have come to your senses (just kidding) and realize that you really do need a coordinator on the day of your wedding, we will help get you and keep you on track, confirm with the vendors you've hired, create a wedding day timeline for you and your bridal party, and make sure you have everything covered for a flawless event.  Keep in mind: since we only take on a limited number of events each month, our schedule fills up quickly, so it's best to get on the ball and call us ASAP for your complimentary consultation.

Do you support or cater to any specific religions?

We cater to all religions, and will be happy to ensure that religious customs and traditions are incorporated into any ceremony or reception as requested.

What wedding-related services do you offer?

Full Planning, Partial Planning, Day-of-Coordination, Weekend-Of Coordination, Honeymoon Planning, as well as multiple a la carte services including hourly consultations.

Do you charge for an initial consultation?

No.  Our initial consultation is FREE. This is a chance for us to get to know each other and see if we’re a good fit for one another.  In most cases, a 50% downpayment with a signed contract is required to secure our services and reserve your wedding date. 

How much communication will we have?

We have a personal policy to respond to all emails and phone messages in a timely manner. We will personally respond to all messages within 24 business hours.

Will you be present at my actual wedding day?

Absolutely.  We will be on-site as early or as late as we are needed. We take our appointments very seriously and only take on weddings we know we will be able to personally attend.  We may bring assistants along depending on the complexity of services, guest count and other factors.

Will you book more than one wedding or event on the same day?

No.  It is our duty to focus on you, and only you, on your special day.  When taking on more than one wedding per day, that duty is nearly impossible to fulfill.  We will be entirely devoted to YOUR wedding, and only YOUR wedding, on your big day.

How will you and your staff be dressed for my event?

We will wear professional, comfortable & dressy attire for every event, unless asked otherwise (i.e. black tie events).

How comfortable will you make yourself at my wedding reception?

Since weddings can turn into 10, 12, and even 14 hour days, vendor meals during your reception are much appreciated. However, we are there to do our job and will absolutely not drink any alcohol or join your guests on the dance floor.

How soon should I secure your services?

It depends on the month of your event, but anywhere from 6-14 months in advance is advised.  Since we only take on a limited number of events each month, our schedule fills up fast.  Your date may still be open, so please contact us today to check availability.
